Privacy Policy

Jackie Edwards Psychology collects personal and health information necessary to deliver psychological services. All client information is securely stored in compliance with the Australian Privacy Principles outlined in the Privacy Act (1988) and the Psychology Board of Australia’s Code of Ethics (2007). This policy details our procedures for managing client personal information.

Types of Information Collected

  • Personal details: Name, date of birth, address, phone number, email address, emergency contact, etc.

  • Health information: Developmental history, family history, mental health history, medical history, medications, referral details, relevant reports, session notes, assessment results.

  • Payment information: Medicare number, health fund details, billing information, NDIS participant information.

  • Website data: Usage data such as analytics and cookies.

Information is obtained directly from you, your child, or your authorised representative. When appropriate and with your consent information may also be collected from third parties, including your child’s general practitioner, referring practitioners, other healthcare professionals, and relevant stakeholders such as school staff. This information is collected in a variety of ways, including, in-person, via our website, email, online and paper forms, questionnaires/tests, over the phone and during service provision.

Purpose of Collecting Information

  • To communicate with you (appointment reminders, service updates)

  • To manage accounts and billing (including Medicare, NDIS and insurance claims)

  • To comply with legal and regulatory obligations

  • To improve our services

You can update your contact details or opt-out of services at any time.

How Information is Secured

  • Digital records are maintained on secure digital platforms, which are password protected.

  • Secure, cloud-based practice management systems compliant with Australian privacy standards.

  • Any temporary paper documents are confidentially destroyed once uploaded to your electronic record (if applicable).

  • Some data may be stored on secure facilities outside Australia – when required.

Records are retained for a minimum of seven years following your and your child’s last appointment, or until age 25 for clients under 18.

Disclosure of Personal Information

  • To other health professionals or stakeholders with your consent

  • To Medicare, private health insurers, NDIS, or other entities for billing purposes.

  • When required by law (e.g. court order, mandatory reporting)

  • If there is a serious risk to your safety or the safety of others

Professional Supervision

Psychologists participate in supervision or consultation with other psychologists to ensure safe and effective practice. In these instances, any information discussed will be de-identified, so you and your child cannot be personally identified.

Consequences of Not Providing Information

If you decide not to share necessary personal information with us, we might not be able to provide psychological services. To meet professional standards, psychologists must keep records that are accurate, complete, and up-to-date. If you have questions or concerns, please talk with your psychologist.

If there is unauthorised access, disclosure, or loss of your or your child’s personal information, Jackie Edwards Psychology will assess the risk, contain the breach, and notify affected individuals and authorities as required by the Notifiable Data Breaches scheme.
